Jobs in Portland OR: Event Assistant Job Description The Northwest Children's Theater and School (NWCT) is a non-profit theatre production and education company with the mission to educate, entertain, and enrich the lives of young audiences. In addition to producing a full season of theatrical productions and offering year-round performing arts classes, NWCT manages the historic Northwest Neighborhood Cultural Center in Northwest Portland, Oregon. The role of NWCT's Event Assistant (EA) is to provide company-wide support for all internal and external events. A high degree of organization, attention to detail and level of professional conduct is required. The successful EA will be able to manage multiple projects simultaneously and work cross-departmentally with NWCT's Production, Education, Marketing, and Finance departments. This is an excellent opportunity for individuals interested in pursuing a career in Event or Venue management, Special Events Sales and Marketing, and Hospitality. There is room for growth in the position and with NWCT. NWCT's EA must be able to pass a criminal background check. Two years prior experience in customer service, handling money, and working with the public are required. EA must have a valid driver's license and reliable transportation. Ideal candidates will have prior experience working with volunteers and children; have a background in event planning and/or front of house management, and some professional experience planning special events. Front of House Responsibilities: Working directly with Company Stage Manager, Volunteers, Interns, Independent Contractors and NWCT Staff, manage the Front of House operations for Main and Second Stage productions:  Greet the guests, direct them to the Box Office and answer questions.  Ensure that tickets are purchased as patrons enter the theater.  Train, oversee and organize volunteer ushers and concessionaires.  Make pre-show curtain speeches as needed.  Oversee lobby set-up and assist with auditorium preparation for every performance.  Maintain and supervise concession counter as needed. Communicate inventory needs to maintain stock.  Assist with patron concerns and help enforce the policies of the theater.  Report personnel problems and safety issues directly to Company Stage Manager.  Observe all rules of the facility and theatre management.  Clean lobby and conduct closing duties in accordance with facility management.  Working with Parent Volunteer Liaisons, coordinate and facilitate the Opening Night Party for each Mainstage production.  Other tasks to be assigned as needed. Internal Events Support: Provide support for internal company events including but not limited to NWCT's monthly Board and Staff Meetings, Annual Auction Gala, Easle Parties sold at Auction, and Birthday Parties. Special Events Support: Execute Event setup, management, strike, and post-event cleaning duties  Coordinate with outside vendors for deliveries, site visits, etc.  Schedule backup coverage for special events as necessary  Establish and maintain relationships with outside vendors  Coordinate with Production and Rentals Manager and/or Technical Director to ensure facility management and assistance for theater rentals is available and provided in a professional manner -- including preparation of space prior to event, monitoring and assistance of rental groups during events, and restoring spaces after events. Assist the Production and Rentals Manager with marketing the spaces available within Northwest Neighborhood Cultural Center to potential guests with special event needs (i.e. weddings, parties, workshops, rehearsals, concerts, etc.) -- duties to include but not limited to:  Maintain and grow online marketing presence. Ensure special event information is available online and in house  Provide point of contact for special event inquiries. Return rental inquiries via phone and email. o Facilitate and/or host site visits with potential rental guests. o Review and adjust pricing strategies with Production and Rentals Manager. o Maintain company-wide calendar updates for all special event activities  Communicate with department directors about company needs versus potential rental conflicts. Adjust schedules and space assignments as necessary.  Communicate with staff and/or contractors for the successful management of outside events within NWNCC.  Negotiate rental agreements (contracts) with outside guests. Track sales activities including reservation deposits, damage deposits, payments, and refunds.  Recommend better practices and/or equipment upgrades to Production and Rentals Manager as necessary.  Other tasks to be assigned as needed. The Event Assistant position will start at approximately 25 hours per week, training to begin mid-March. Compensation is $12.00 per hour, based upon experience. A fluctuating schedule will include working days, nights, weekends, and some holidays. Standing, bending, walking, and lifting objects (35 lbs) are required. Event Assistant will report to NWCT's Production and Rentals Manager.
