Office Manager for Real Estate Company (West Portland)

Jobs in Portland: Working under the supervision of the Operations Manager and Owner, the full-time Office Manager/Marketing Assistant oversees all office procedures and assists with marketing at our West Portland office of Lee Davies Real Estate. Hours will be 8:30am-5:30pm, Monday through Friday. Duties and Responsibilities: 1. Front desk reception and all aspects of general office coordination. 2. Maintain confidentiality in all aspects of client, staff and company information. 3. Interact with clients, vendors and visitors. 4. Answer telephones and transfer to appropriate broker/staff member. 5. Open, sort and distribute incoming correspondence, including faxes and email. 6. File and retrieve organizational documents, records and reports. 7. Coordinate and maintain records for office space, telephones and office keys. 8. Create and modify documents such as reports, memos, letters and forms using MS Office and Adobe Acrobat or other programs. 9. Set up and coordinate meetings and conferences, make travel arrangements as requested. 10. Collect and maintain inventory of office equipment and supplies. 11. Assists in special events, such as company parties and informational classes for the public. 12. Assist with overall maintenance of the organization and its offices. 13. Assist the Marketing Director with projects including the creation and modification of postcards, flyers and other marketing materials. 14. Other duties as needed. Minimum Qualifications: 1. Experience in general office responsibilities and procedures including the ability to operate standard office equipment, including but not limited to: computers, telephone systems, calculators, copiers, scanners and facsimile machines. 2. Must be computer literate including proficiency in MS Word, Excel and Outlook. 3. Ability to communicate effectively, learn and adapt quickly. 4. Ability to follow oral and written instructions. 5. Good writing, analytical and problem solving skills. 6. Flexible with changes. Maintain focus in spite of interruptions. 7. Able to commute between multiple offices. Desired Qualifications: 1. Experience with Adobe Creative Suite, particularly InDesign. 2. Bachelor's degree preferred. 2. Some familiarity with residential real estate.
